WEG, individual apartment or rental building management: which service fits?

By Guy Ben Edelsburg · 6-minute read

When looking for a property manager, first clarify the assignment. Managing a condominium association, looking after one rented apartment and managing an entire rental building start from different needs. The key questions are who needs support, for which property and with which ongoing matters.

Condominium association management: the community

This service focuses on the owners’ association and its shared responsibilities. Typical work can include preparing meetings, financial overviews and coordinating work on common property. The assignment and responsibilities must fit the building.

URBAN’s service information is available on its Berlin and nationwide condominium management page.

Individual-apartment management: a rented unit

Special management of an individual apartment concerns one owner’s rented unit. Topics may include tracking rent payments, communicating with tenants and organising matters relating to the apartment. Clear updates and a named contact are especially useful when the owner lives elsewhere.

For example, the owners’ association may be arranging work on the building while a tenant reports an issue inside the apartment. These matters can involve different contacts and assignments. Coordination helps ensure neither is left without an owner.

URBAN describes its individual-apartment management service online.

Rental-building management: the whole property

For a rental building owned by one person or company, the assignment covers the property as a whole. Payment records, tenant contacts, contracts and technical matters need to be coordinated. An enquiry should explain occupancy, number of units and known open issues.

Five details for a useful first enquiry

  1. Property: Address and type, such as an apartment, owners’ association or rental building.
  2. Scope: Number of residential and commercial units, or the individual apartment.
  3. Reason: A new appointment, a planned change or additional support.
  4. Current status: Occupancy, available records and ongoing work, briefly.
  5. Expectation: Desired start date, contact person and main tasks.

A factual summary is enough for an initial enquiry. Share confidential leases, payment data or personal documents only after agreeing on a suitable method.

The practical question behind the label

Which matters should the manager handle, which decisions remain with the owner, and how will progress be reported? A clear scope is more useful than a long task list.

From assignment to reliable cooperation

After choosing the type of management, organise the records, identify open matters and agree on updates. Related reading: how to review property documents and how to follow decisions through.
